New Graphic International demonstrated Intelligent Document Scanning, their “Easy-to-go” Document Scanning and Archiving solution, at the Middle East Vending & Kiosk Expo on 20 & 21 May, 2006. On demonstration at this event was advanced scanning and archiving technology that can enable an organisation to legalise their paper records while implementing Total Document Solutions. "This live demo exhibits our capabilities in providing Total Document Solutions and also showcases our enhanced security features where documents are made e-legal using our own Intelligent Document Scanning solution and Rex Rotary MFPs", says Sangeeth Ibrahim, Product Manager - DM Solutions. "One of the major characteristic of this demo is the increased security features with new range of MFPs from Rex Rotary. In this rapidly changing world of digital imaging, the role of the office device be it a copier, printer, fax or scanner — is no longer simple. Don’t they act as document portals?", asks Venkat Mohan, Product Manager - Rex Rotary. The one thing that has brought about this change is the IDS – Intelligent Document Scanning. Using the IDS, the Records Officer can now deliver scanned records into the e-Filing cabinet as PDF files, making it easy to search for information. There is no need to go back to physical records unless absolutely required, thereby ensuring the safety and security of the physical records. Moreover, in case of a calamity, the information is still available in electronic format. "While most organisations ponder over which Document Management Solution to implement, what they don’t realise is that the DMS is the least of their worries. Most DM Solutions today are capable of meeting required standards. But, what they do not provide is the means and infrastructure to scan millions of documents and archive them sensibly. Without proper scanning, indexing and archiving, all DM Solutions become more of a bane than a boon," continued Venkat Mohan. The exhibition highlighted that it is important for organisations to be able to differentiate ‘documents’ from ‘records’. This not only helps them to backfile only necessary and relevant records thus keeping document maintenance to an optimum level, but also helps them reduce cost. The highlight of the exhibition was though, not the scanning technology or the backfiling infrastructure. The IDS has launched for the first time in the Middle East, e-Legal scanning. e-Legal scanning is a technology where records are stamped with a unique ID and this helps the company track these records easily and also helps the organisation to keep an eye out for any manipulation or unauthorised changes that may have taken place. Add to this is the fact that, using ISO standard PDF/A, these digitized records are legally acceptable and do hold value in a court of law. "New Graphic International brings the latest in Document Management Solutions through this demonstration. They are aimed at increasing security, easing workflow and saving costs enabling organisations to continue to keep abreast with the latest technologies and stay ahead of today’s global competition," concluded Sangeeth Ibrahim.
